Sending a bulk parts list for quotation

Professional buyers rarely order one line. If you are sending a list of fifty, five hundred or five thousand numbers, how the list is structured largely determines how quickly it comes back priced.

The minimum useful columns

A spreadsheet with these columns can be processed directly:

- Part number — as printed on the component or on your own stock record. Formatting does not matter; separators and letter case are normalised on our side. - Quantity — per line. - Description — optional, but extremely valuable when a number does not resolve. - Engine model — optional, but it lets us confirm fitment rather than only matching a number.

Anything beyond that is welcome but not required. We accept XLSX, XLS and CSV.

What happens to numbers that do not resolve

Numbers fail to resolve for three main reasons: they have superseded more than once, they were transcribed with a character error, or they belong to a brand outside our current catalogue coverage.

We do not silently drop those lines. Every unresolved reference is preserved exactly as you sent it and returned to you in the quotation marked for review, with our best interpretation alongside where we have one. A line that cannot be matched automatically is looked at by a person, because an unmatched line is usually the one the customer needs most.

Mixed lists

Lists that mix complete engines, major assemblies and small service parts are normal and are not a problem. Where an item is a major assembly — a powerhead, a complete lower unit, a gearcase — we will usually come back with a question about the engine's serial number before quoting, because assembly fitment is more serial-sensitive than component fitment.

Turnaround

Straightforward lists against catalogued brands are normally returned within one business day. Lists requiring sourcing enquiries into Japan take longer, and we will tell you that up front rather than leaving the quotation open.
